When does the one year licence begin and end? Is it on a specific date or just whenever I sign up?

The one year licence starts from the date your application is approved. So if you sign up for Mika AI Scribe and submit your application on Jun 15, 2025, and your application is approved on Jun 18, 2025, then your one year licence starts on Jun 18, 2025 and ends on Jun 18, 2026. (But you can start using Mika as soon as you sign up!)

Is there a deadline to sign up?

Yes. Sign ups can occur until Dec 31, 2025 or until the funding runs out, whichever happens first, so we encourage you to sign up as soon as possible.

Can my clinic just sign up for me on my behalf?

No. Your clinic (i.e., a manager, assistant, or other physician) cannot sign up for you on your behalf. It's important that you verify the information on your application and agree to the terms and conditions of the program.

Signing up is easy with Mika AI Scribe! Just login to the app and navigate to the Subscriptions page. From there, you'll see the Canada Health Infoway AI Scribe Program offer and you can click "Apply Now" to complete your application.

Do the 10 sessions/month have to be 10 sessions in each calendar month for the next 12 months, or could it be 120 sessions/year without taking month into account?

The current requirement is 10 sessions per calendar month. Please contact us if there are particular circumstances that may limit this and we are happy to discuss potential options with you.

What happens if I don't use the scribe for the required 10 sessions/month for the full year? Would we simply lose free access to the scribe (and if so would we be informed of this prior to continued use), or would we be on the hook for a bill for the AI services for the full year?

If the minimum 10 sessions per calendar month are not used, then we will contact you to see if there is anything we can do to increase your usage. If not, then you will eventually lose access to Mika AI Scribe and your fully funded licence; however, you will not be on the hook for a bill.

What about EMR integration?

Mika AI Scribe can be directly integrated with TELUS MedAccess, TELUS PS Suite, and QHR Accuro EMRs through a secure API connection. Check out our EMR Integration guide to learn more.

There is an additional monthly cost for EMR integration. At this time, the Canada Health Infoway AI Scribe Program will cover those costs, in addition to your Mika AI Scribe licence, for TELUS MedAccess and TELUS PS Suite EMRs.
